- Recently I read the 2015 edition of David Allen’s widely popular book, Getting Things Done—The Art of Stress-Free Productivity. The previous edition was an eye-opener for me, although to be honest, I didn’t implement his system. This time is different. I’ve jumped head first into the GTD cult. In this article I’m going to walk through how I implemented GTD, including the tools I use. I’m also going to cover how you can use GTD to improve your finances. To get starting, let’s look at the 5 steps of the Getting Things Done system: The 5 Steps 1. Capture: Use an in-basket, notepad, or voice recorder to capture 100% of everything that has your attention. Little, big, personal and professional—all your to-do’s, projects, things to handle or finish. 2. Clarify: Take everything that you capture and ask: Is it actionable? If no, then trash it, incubate it, or file it as a reference. If yes, decide the very next action required. If it will take less than two minutes, do it now. If not, delegate it if you can; or put it on a list to do when you can. 3. Organize: Put action reminders on the right lists. For example create lists for the appropriate categories—calls to make, errands to run, emails to send, etc. 4. Reflect: Look over your lists as often as necessary to determine what to do next. Do a weekly review to clean up, update your lists, and clear your mind. 5. Engage: Use your system to take appropriate actions with confidence. For me there are three key parts to this system: 1. The ‘Snap Your Finger’ Test: As part of the capture phase, I record every thought, idea, inspiration, or to-do into my system. It gets everything out of my head and down on paper (or into Evernote as you’ll see in a minute). As part of this, I ask a simple question. If I could get anything accomplished by snapping my fingers, what would I do? This simple question triggers the imagination and gets the ideas flowing. 2. The 2-Minute Drill: Following David Allen’s 2-minute rule has increased my productivity exponentially. Rather than putting things off that are quick and easy to handle, I do them immediately. This is particularly useful when it comes to managing paper around my house or office, especially mail. 3. The Power of the Next Step: Big projects can overwhelm us. One way to break down the projects into manageable pieces is to start with the next step. Not all of the steps. Just the next one. I write it down for every multiple-step project. Tools As helpful as the Getting Things Done approach to productivity is, it won’t work without the right tools. I’ve tried several, including OmniFocus and even Scrivener. By far and away the best tool, however, is a combination of Evernote and a paper scanner. Through the use of just a few notebooks and nested tags, you can easily create a GTD system inside Evernote. The place to start is with a free resource called The Secret Weapon (no, I’m not kidding). Through a series of easy to follow videos, you’ll see exactly how to set up Evernote for GTD. I customized my setup in a slightly different way. Basically I gave my “when” tags different names. It will all make sense when you watch the videos. Rather than using tags such as Now, Soon, Later, and so on, I opted for Today, This Week, Next Week, This Month and Someday. The paper scanner helps you get everything into Evernote very easily. I use a ScanSnap, which can scan directly into Evernote. Applying it to your Finances Once you have your GTD system setup, applying it to your finances is easy. There are a few additional tools you may want to use, however. A good budgeting tool and investing tracking tool are important. One option to cover both is Personal Capital. You can easily connect your bank accounts, credit cards, and investment accounts. Once connected, you can manage all of your finances in one place. For those that one just a budget tool, YNAB is the best option in my opinion. With the right tools in place, the next step is to capture every aspect of your financial life. Here are some ideas: Filing CabinetsBillsInvestmentsTaxesDebtCars (e.g., title, registration fees, etc.)InsuranceBank statementsWillsTrustsAirline or Hotel RewardsBooksReceipts Some of this will mean piling paper on a table to sort through. Some of it will mean a brain dump (remember the ‘snap your fingers’ test) of things you’ve been meaning to do for a long time (e.g., finally get a will or rebalance your investments). Once you have everything out of your head and out on the table, start processing each item using the 2-minute drill. For items that will take longer or are part of a project, record the next step. Change Is Happening (07-29-15)

I recently accepted a job in a new city. We will be going from a10,000 population to 200,000. Pretty insane when you look at the numbers. But new opportunities are in the air and  keeping things open. Who knows what may come along. I still have a lot of ideas brewing in my head, in hopes that one day we will break free of the default lifestyle. Expenses are going up a bit, but were moving to a nicer apartment with newer appliances. We are finally getting a dishwasher, washer, and dryer. It has been a pain for the past couple years not having these at our disposal. Creates tension when it comes to meals and wasted time traveling back and forth from parents house to do laundry. We have been able to save some money and almost at the point where a money market account will kick in. Its exciting. I can't wait for my money to start earning me money without busting my ass. I'm excited that my wife and I will gain new friends and expand our circle. At the moment with money and the move things are a little overwhelming but soon enough were gonna be a step closer to where we want to be in life. Its another building block which should play in our favor.

Right now we're focused on packing, taking care of money, getting my truck running (bad alternator), and getting things moved over and settled in.

We're on the right path, can't wait for the continuation of our adventure and journey. I couldn't have done this without the support of my wife, family, and friends. Its a big leap for us to finally get out of the nest. This will be the first year we are more the 50 miles away from home. Time to open up to life and the fruits it offers.

- For those of you who have been following my journey on Instagram, Twitter and Facebook you'll see I've been falling in love with Portugal and that I have been going on quite a few new adventures. As a digital nomad, when you're settling into a new location or moving to a different country, the first couple of weeks can be some of the most fun yet unsettling, especially if you want to become a local fairly quickly. It's been quite an adventure for me, what with starting daily lessons in Portugese with my teacher Frederico who owns the Lisbon Language Cafe. I also bought myself a new 125cc scooter - the first major investment I've made since I started traveling with my business that doesn't fit in my suitcase! Which means I've been getting lost a lot and driving all over the place, taking a new route daily to get to my Portugese language lessons as well as to Ultimate Frisbee practice on the beach. I've also been trying to get a Fiscal number here so I can get proper insurance and visiting the Finacas to find out I need a proper contract first before they can do that. To top it off I've been looking online at other apartments to rent in Lisbon so I can experience new areas to try out and then making real estate appointments to view apartments to buy too. All of this has meant I've been in a constant state of learning new things daily, which is great but exhausting, and something we don't often factor in when we're traveling the world and exploring new countries. You're not only getting used to your all new surroundings, but also attempting to meet new people, socialize, find services you needs like supermarkets, post offices etc and discovering local cafes, bars and restaurants to enjoy. In this podcast, I decided to tell you all about some of my favorite and more amusing adventures in the last two weeks of settling in to Lisbon, as well as tips for you to manage taking the leap into living in a new place, whether you intend to be there for a few weeks or longer.

Mild Depression 07-28-15

I'm feeling saddened inside. I'm not sure what quite to do. I had something going towards tattooing and I don't know if I just made the wrong move or its just not the right fit. First of all I really need to figure out who I am. That's been a challenge so far, one moment everything feels great and in sync, the next confused and misled. Where do I go? I have a deep desire to create but don't know where to focus. Focus has been wildly sporadic. I had my focus and due to events not sure what it is or will be. Maybe I can look to the heavens for a sign but will that really help. I guess it narrows things down a bit. I'm in love with tattooing but is it superficial. I had aspirations to do an apprenticeship but feel I fell short due to my decisions and time constraints. I think I need to take a risk but too scared to execute. I worry about finances and would like to set things up so they are not so worrisome, but yet again can't focus and commit. It all comes down to lack of commitment. I'm too scared to make any final choices thinking I need to leave my options open. Things are not completely cut off, but my drive has steeply plummeted. Now my joy has diminished reducing my eagerness to draw and paint. Which I need to do to even think I could get better. I've made a little progress but not sure where to go. Do I need a slap in the face that tells me to just give up, you don't have what it takes. Or could this be the dip, the challenge that has arisen for me to test my faith. Not in god but in the process, the grind, the work, it takes to be great.

I have taken a new position in a larger city to move ourselves towards the action, but am really nervous. There will be growth, but I worry the field I'm going into may produce similar responses of overwhelming emotional stress. I got a little raise but I'm tired of doing things for the money and not the joy of doing what I love. I hope I've made a good impression on those around me. But I know if don't some silly things and acted a damn fool in times of stress. I just don't quite know how to interoperate things without going overboard into the mental ocean I'm currently depending in. I've don't things taken action but never feel it is enough. I have a hard time looking back without feeling like crap for striving so hard to look forward. In reality they don't exist other than the presence of the now. Where have my moments gone in frivolous seeking of past and future? Does all this really change anything. I have a choice and my current programing is fighting the change that needs to happen to become the person I am. Could this options have really stunted things or would it just be another decision I've put an extraordinary amount of unnecessary weight on.

Tracing and getting the flow down

I may have underestimated how poor of an artist I am. Working on tracing and flowing lines had been interesting. I've been a super scetchy drawer and know to some degree the fundamentals, but definitely could know so much more. In a way I'm realizing how superficial my knowledge is. It would be nice to break things down more into actionable practices. I've watched videos but haven't quite applied them. Although my desired focus is in tattooing. Any practice is good practice, but to get great consistent skill building practice would be great. I'm looking around and finding some practices to imitate. The obvious tracing, but with more intention towards line stokes. Planning, how to execute the project. I'm working on seeing the process, with its layers that build to an image. I've been a doodler and haven't put a ton of thoght into shading and coloring. I have ideas but execution can be poor.

Working Towards Exposure

If I can build up some interest by gaining commissions to do small projects I can slowly build up experience and clients.
My tattooer who I've been going to for 5+ years, now more of friends, has given some opportunities to help him with a banner and flyer for his booth spot at a local tattoo event. This is exciting, also a little worrisome. I want to do a good job and worry some of my skills may be limited. But that's self defeating. I can do it. It may not be perfect but will serve its purpose. Who knows what may come along and what opportunities may arise.
